Position Title:                     Office Coordinator


Location:                               Crestview Manor


Immediate Supervisor:     Facility Director



Major Responsibility


Provide support to the Facility Director in assuring compliance with regulatory requirements and efficiencies associated with the operation of an Assisted Living Facility.




  1. Arrange resident transportation/escort as needed.  Document any problems.

  2. Run foot clinic as scheduled.  Secure appropriate documentation.

  3. Run eye clinic as scheduled.  Secure appropriate documentation.

  4. Prepare and submit invoice registers to the Administrative office as directed.

  5. Prepare weekly bank deposits.  Facility Director shall verify deposit prior to it being taken to the bank.  Submit to Fiscal Department.

  6. Collect and track resident rents.  Report all arrearages to the Facility Director.

  7. Maintain resident Personal Need Accounts.  Assure receipts are signed by resident when withdrawing funds from account.  Reconcile accounts quarterly and send report to resident/caregiver as appropriate. 

  8. Address daily concerns of residents, provide solutions to problems and assure needs are met.

  9. Maintain files in accordance with good management practices.

  10. Maintain records room in a neat and logical order.

  11. Assist with resident activities as permitted by schedule.

  12. Schedule TB Tine test and employee physicals as needed.

  13. Cover Resident Aide duties as needed.

  14. All other duties as assigned by the Facility Director to assure the smooth operation of the facility and compliance with regulatory requirements.

Conditions of Employment

This position requires a current First Aide and CPR Certification, and ability to provide the services and care required by ECC Licensure Standards.  Must provide results from Level II Background Screening report which does not contain any disqualifying events as outlined by AHCA standards.



Must be of good and stable character with a high school education and ability to read and accurately maintain records as assigned.  Must be patient, caring and able to perform with minimum supervision, have good listening and communication skills, and the ability to work cooperatively with other staff on facility projects.  Ability to follow written and oral instructions to complete tasks.  Work schedule will be determined by the facility’s needs and as determined by the Facility Director.

Personal Appearance:

Must be clean and neat at all times.  Scrubs or office casual are the recommended clothing attire.  Tee shirts with slogans, advertisement, or depicting cartoons, celebrities/musicians or inappropriate phrasing are considered inappropriate.  Shorts and skirts more than 2” above the knee are prohibited.

Special Requirements:

Must be able to work with little or no supervision.  Must be capable of managing time effectively and efficiently to assure assigned tasks are completed within time allowed and in a manner that assures quality work.

Wage Scale

Starting wage is $10.00/hour. Increases will be determined by merit, length of service and budgetary constraints and not to exceed 3% per annum.
